Bookkeeping cleanup and catch-up

Books fall behind for ordinary reasons: the business grew, a bookkeeper left, or QuickBooks was set up by whoever was available at the time. Cleanup brings the books current and correct — and fixes the structural problems that caused the mess so it doesn't happen again.

Signs you need a cleanup

  • Accounts haven't been reconciled in months, or ever
  • Your QuickBooks balances don't match the bank or the lender
  • Your CPA sends back questions you can't answer
  • Personal and business transactions are mixed together
  • You can't tell which jobs, properties or programs are making money
  • The books are months behind and the bank feed has gaps

What a cleanup includes

  • Connecting bank and card feeds first — QuickBooks feeds only reach back a limited time, so every week of delay means more manual entry
  • Reconciling every bank, card and loan account for the catch-up period
  • Correcting miscoded transactions and duplicate entries
  • Fixing the chart of accounts, customers, jobs and classes where the structure is the problem
  • Reviewing the balance sheet: loans, undeposited funds, customer deposits, payroll liabilities
  • A written summary of what we found and what we changed

Nothing changes without your authorization

We document what we find before we fix it. Material changes to your books are discussed and approved first, so you — and your CPA — know exactly what changed and why.

After the cleanup

Clean books stay clean when someone closes them every month. Most cleanup clients move into monthly bookkeeping so the work doesn't have to be repeated next year.

Start with a Books Review. We will look at how far behind the books are and what shape they are in, and tell you what the cleanup involves before any work begins.

How a cleanup runs

We start from the last point the books can be trusted — often the last period your CPA filed. From there we bring in bank and card activity, reconcile each account month by month, and correct coding as we go. Balance sheet accounts that tend to hide problems — undeposited funds, opening balance equity, loan balances, customer deposits and payroll liabilities — get a separate review. Where the chart of accounts or job structure caused the mess, we fix the structure too, so the corrected books keep working after the cleanup is finished.

Questions we hear

How far back can you go?

As far as needed. Older periods may need bank statements rather than feeds, which is why connecting feeds is the first step.

Will this change what my CPA already filed?

We flag anything that affects a filed period and discuss it with you before changing it, so you and your CPA can decide how to handle it.

Do I have to move to monthly bookkeeping afterwards?

No, but books that aren't closed every month usually fall behind again.
