What's included each month
- Categorization of bank and credit card activity in QuickBooks Online
- Reconciliation of every bank, card and loan account
- A structured month-end close, done the same way every month
- Payroll — we set up your payroll provider, assist as needed and record it in QuickBooks, so payroll is turnkey
- Accounts receivable and accounts payable review
- Balance sheet review, not just the profit and loss
- Job cost coding and work-in-progress (WIP) where it applies
Why the balance sheet matters
A profit and loss statement can look reasonable while the balance sheet is quietly wrong — a loan balance that doesn't match the lender, an undeposited funds account that keeps growing, customer deposits recorded as income. Those errors eventually show up in your tax return, your lender package or your cash. We review the balance sheet every month so they get caught while they are small.
Real human review
Every close is reviewed by a person who understands your business. Software handles the repetitive parts; judgment handles the rest — whether a transaction belongs to a job, whether a vendor charge is a repair or an improvement, whether a number looks wrong for your business.
Working alongside your CPA
We keep the books accurate all year so that your CPA or EA receives clean, reconciled records at tax time and can spend their time on tax strategy instead of cleanup. No tax professional yet? We can include tax preparation as an extended service through our tax partners.
Who it's for
Owners who need their accounting to stay correct without managing it themselves — especially home service contractors, general contractors, roofing and restoration companies, real estate investors, and nonprofits and churches.
How to start
Every engagement starts with a Books Review: a look at your current books and QuickBooks structure showing what is working, what is not, and what to do next. If your books are behind, we start with a cleanup first.
What a month-end close looks like
After the month ends, every bank, card and loan account is reconciled to its statement. Uncategorized and suspense items are resolved. Payroll entries are checked against the provider's reports. Receivables and payables are reviewed for items that are old, duplicated or already paid. Job cost coding is reviewed where it applies. Then the balance sheet is reviewed line by line before the month is treated as closed. The same steps run in the same order every month, which is what makes the numbers comparable from one month to the next.
Questions we hear
Is this just categorizing the bank feed?
No. Categorization is one step. Reconciliation, balance sheet review and a defined close are what make the books reliable.
Will my CPA still need to do cleanup at year end?
The goal is that they don't. Reconciled, reviewed books let your CPA focus on the tax return.
Can you keep working in my existing QuickBooks file?
Usually, yes. If the structure is the problem, the Books Review will show that first.
